Operating Regulations

1. Camper Registration

The registration of campers is carried out through the PLAYWAY website (www.playway.gr) by the parent/guardian or through the electronic registration of the camper. Once the registration application is completed, the parent/guardian will receive an automatic confirmation email. Then, after the administration processes the request, the parent/guardian will receive a confirmation email for the reservation, as long as there are available spots. The parent/guardian has the ability to log into the camper’s profile to check the status of their request.

Eligible to participate in the PLAYWAY camping programs (referred to as “camp”) are children aged 6 to 16 years, which are self-catered. Each camper has the right to choose to be in the same group with another camper (friend or relative) of the same gender, provided that their age difference does not exceed one year.
During the online registration process, parents/guardians complete the camper’s health history in the Medical Record. The correct, complete, and accurate completion by the parent/guardian ensures the safety of the camper and the protection of all participants. Parents/guardians are solely responsible for the correct, full, and accurate completion of the required registration details.
Campers with underlying conditions can participate in the camp only if there is a prior, written approval from their treating doctor confirming that they can safely take part in the program. The camp administration reserves the right to deny participation to campers with serious medical conditions or special needs as mentioned above, but also to those diagnosed with such conditions during the registration process or while staying at the camp.
The camp reserves the right to remove a camper in cases where parents/guardians have omitted details from the Medical Record.

2. Financial Terms (apply to private registrations)

  • Deposit – Finalization of Reservation: To finalize (confirm) the reservation, the parent/guardian deposits the amount into the camp’s designated bank account, and the deposit must be identified with 60% of the total amount in the child’s name. The deposit is made after the completion of the online registration process.
  • Final Payment: The remaining balance must be paid via bank transfer no later than 10 days before the child’s arrival at the camp. A simple receipt or an invoice is issued, provided that the invoice request has been made in advance. The final receipt or invoice is issued on the day of the camper’s departure.

Cancellation/Refund Policy
In case of camp registration cancellation:

If the cancellation occurs before the child’s arrival at the camp, the deposit amount is refunded under the following conditions:

  • The cancellation is communicated at least 10 days before the child’s arrival
  • The cancellation is communicated via email to info@playway.gr. In the email, the parent/guardian must include the IBAN account number, the account holder’s details, and the bank where the refund will be made.

In any other case, no refund is provided.
In case of early departure from the camp:

For the 15-day program: If the child leaves by the 6th day (5 overnight stays), the deposit is withheld. After the 6th overnight stay, no refund is provided.

3. Arrival and Departure Procedure for Campers
The arrival and departure of campers will be organized under the supervision of parents/guardians according to the scheduled timetable. Parents/guardians will be informed a few days in advance via email.
Upon arrival at the camp, parents must:

  • Present the camper’s entry card if the registration was completed through e-EFKA or via private insurance funds (NPID).
  • Ensure that the full registration fee has been paid if the registration was private.

During the arrival and departure of campers, parents/guardians are not allowed to enter the campgrounds.
The departure of Playway buses will take place from the Municipal Parking METRO at Poseidonos Avenue at 16:30 at the end of each camp session.
For other scheduled routes from different cities, buses pick up children from designated locations. Contact the camp office at 2310280692 & 2310221692 to confirm the exact time and departure point.

4. Visiting Hours for Parents/Guardians
Visitation for parents/guardians at the camp is generally prohibited.
It may be allowed in exceptional cases only, with the presence of a parent/guardian at the camp, exclusively and only if there is a special need that justifies it. In such cases, parents/guardians must first contact the camp administration and send a written request via email. In an emergency case, and if there is prior approval, visitation may take place by appointment in a specially designated area within the camp.

5. Camper Exits
Short-term leave is limited to absolute necessities and only in exceptional cases. A camper may leave the campgrounds only under the following conditions:

  • The camper is picked up ONLY by the parent/guardian upon presentation of an official ID or passport and signature on the departure form. In exceptional cases, another individual may pick up the camper, but only with a written declaration of authorization from the parent/guardian and a valid notarized signature (Law 1599/1986). This authorization must include the full details of the person who will pick up the child and must also mention their ID or passport number. The declaration can be obtained at KEP (Citizen Service Centers) or issued online via gov.gr.

6. Telephone Communication
To ensure the quick and smooth adjustment of children to the camp program, phone communication between campers and their parents/guardians begins on the second day of camp. Campers will use phone cards to communicate with their parents/guardians. These cards can be purchased from the camp’s canteen.
Each group will have a designated communication time, so campers do not miss out on their activities. Campers will be informed in advance about their phone call time to their parents/guardians.
Younger campers will call with the assistance of their group leader. If parents/guardians urgently need to contact camp staff, they can call the camp’s administration to be assisted. To ensure smooth operation and service, direct phone contact between parents/guardians and campers is limited to urgent and serious situations. If a serious issue arises, the camp will handle it responsibly with the parents/guardians.
Regarding the use of mobile phones, the following rules apply:

  • The use of mobile phones within the PLAYWAY camp is the sole responsibility of the camper. The camp administration bears no responsibility for loss or damage to the device, nor is it liable for its safekeeping by camp staff.
  • Mobile phones can only be used during the designated phone communication hours.

7. Camper Accommodation

The accommodation of campers is organized in cabins by camp group. Campers can also choose and declare their preferred company during registration if they wish to stay with fellow campers of the same age and gender.

8. Restaurant

The PLAYWAY camp implements an HACCP study to ensure hygiene. The daily meal plan includes five meals (breakfast, morning snack, lunch, afternoon snack, and dinner) and combines healthy dietary options with children’s favorite foods. Lunch and dinner are always accompanied by fresh salads and fruits. A sample meal plan is available on the camp’s website www.playway.gr. Campers’ meals are served by their group leader. Each camper is provided with an additional portion if desired.

9. Hygiene and Cleanliness

Personal hygiene and bathing for children take place daily based on a scheduled timetable per group.
The campers’ rooms are disinfected between camp sessions by specialized crews, while during the camp period, they are cleaned at regular intervals by the camp’s housekeeping staff. To ensure the hygiene of campers and staff, cleaning takes place when the children are not in their rooms.
Common hygiene areas, such as showers and restrooms, are thoroughly cleaned at scheduled intervals and are recorded in the facility’s cleaning log. Personal items should be self-managed by campers.

10. Lost Items – Procedure for Collecting Forgotten Items

The camp informs parents/guardians via the website www.playway.gr and by email at the time of the camper’s registration about the list of essential items each child should bring for their stay at PLAYWAY. We advise parents/guardians to equip younger campers only with the items mentioned in the suggested list and to avoid valuable objects that are not deemed necessary for camp activities. Upon arrival, campers are informed about the procedure for safeguarding and managing personal belongings of high value. The camp holds no responsibility for lost items and does not offer compensation in case of loss or damage. During the camp period, a designated process is in place for collecting forgotten items, which are stored in a specific area where campers can check for lost belongings. After the camp season ends, any unclaimed lost items are stored in a designated space until the close of the summer camp period.

11. Removal of a Camper from the Camp Program

The camp reserves the right to remove a camper in cases where their behavior or condition is deemed inappropriate, violates camp rules, or poses a risk to their own health and safety or that of other campers and/or staff.

12. Operation of the Infirmary – Health Management

At PLAYWAY camp, a First Aid station operates with a doctor and qualified nurses available 24/7 throughout the camp period. During the registration process, parents/guardians must complete the camper’s Medical Record. If this is not properly completed, the registration of the child may not be accepted. Additionally, a record of Health Declarations and an incident log must be maintained throughout the camp period.
The camp doctor reviews each camper’s health record individually and assesses their ability to participate in the camp program. Campers presenting certain illnesses, having a serious medical history, or receiving ongoing medication must provide:

  • A medical certificate from the child’s doctor is required, detailing the diagnosis, prescribed medication, and confirmation that the child is fit to participate in sports activities and the camp program. This certificate must be submitted during the child’s registration at the camp.
  • A declaration of consent, signed by the parent/guardian, must confirm their approval for the administration of medication by the camp’s medical and nursing staff during the child’s stay.
“I authorize the administration of the prescribed medication during my child’s stay at PLAYWAY Camp from ___ to ___. The medication will be administered by the camp doctor or nurses. The prescribed medication is ___, with the dosage of ___.”

The camp doctor, in collaboration with the nursing staff:

  • Provides First Aid in Case of Emergency
  • Monitors and administers medication to campers who receive regular treatments according to the Health Record and the instructions of their pediatrician, provided that the parent/legal guardian of the child has given their consent.
  • Assesses the child’s health and performs an initial diagnosis in case of injury, illness, or pathological condition, and depending on the situation:
    • notifies the parents/legal guardians of the child only in cases where the doctor deems it absolutely necessary to communicate,
    • if deemed necessary after evaluation, proceeds with medical intervention or the administration of medication, especially in urgent cases where immediate, absolute, and imperative medical care is required, and consent cannot be obtained in time.
  • In cases where the doctor deems temporary or permanent return of the child home necessary to ensure the best conditions for their well-being, parents/guardians are required to pick them up and follow all necessary departure procedures.
  • If the camp doctor deems it necessary to transfer the child to a medical facility for diagnosis or additional medical and nursing procedures, the parents/legal guardians will be informed first, and the transfer will take place accordingly, except in emergency cases.
      • If the parents wish to transfer the sick camper to a medical facility of their choice, the transfer will be carried out based on the severity of the case and in cooperation with the camp doctor.

13. Child Protection Officer

In accordance with the provisions of Law 4837/2021, the camp designates a Child Protection Officer for each full camping period. The officer ensures compliance with all applicable regulations and guidelines regarding the prevention and response to incidents of child abuse and neglect.

14. Personal Data Protection Policy

The management and protection of personal data are carried out in accordance with the Privacy and Personal Data Protection Policy of KATASKINOTIKI EKPAIDEYTIKI A.E. Interested parties can find detailed information on our website under the Camp Registration Form section. To complete any registration for the camping program, acceptance of the relevant terms is required.
